The Role 

The Health Information Services (HIS) department is seeking professional, enthusiastic and motivated team players to join our busy, dynamic department in a role based onsite at our Richmond campus. Please note, you will be required to work onsite in this position, there is no capability to support working from home in this role.

As a HIS Clerk, your primary responsibility will involve collecting, sorting, prepping and scanning of large volumes of patient medical records and releasing the documentation to our Scanned Medical Record (SMR) in a timely and efficient manner. In this role, you will also be responsible for all reception duties when rostered, which will include answering of telephone enquiries, responding to emails and fax requests, and actioning any requests for patient information received from various stakeholders including other health services, General Practitioners (GPs) and other health professionals. In addition, you will also deliver and collect patient medical records to and from different areas within the hospital, and you will undertake other manual and administrative tasks including but not limited to, filing of old paper-based medical records, moving of boxes containing scanned documents, and ordering of patient medical records from our offsite storage facility.

Responsibilities include:

  • Scanning large volumes of paper-based patient medical records using the BOSSnet Digital Medical Record system.
  • Collecting medical records from the wards and departments throughout the hospital on daily ward rounds.
  • Answering phone based and email based enquires from internal and external stakeholders.
  • Responding to information requests in accordance with the department’s release of information guidelines to ensure continuing care for patients.
  • Collecting, scanning and re-directing mail.
  • Performing general department duties as required.

  • Proven attention to detail and high care taken with tasks
  • Can effectively communicate using verbal, written and non-verbal communication to clearly convey information to other staff, patients, clinicians and additional stakeholders
  • Excellent organisational skills with a proven ability to prioritise workload effectively and meet deadlines
  • Collaborative working style willing to work closely with various stakeholders to find solutions to workplace challenge
