The Role

The Health Information Services (HIS) department is seeking professional, enthusiastic and motivated team player to fill the position of HIS Clerk to join our Richmond campus. You will be rostered to work Monday to Friday afternoon's in our friendly Health Information Services team.

As a HIS Clerk, you will be responsible for providing support in various administrative functions within the HIS including answering of telephone enquiries, responding to emails, actioning requests for information, delivery and collection of medical records from various hospital areas, ordering medical records from offsite storage, prepping, filing, and scanning of paper-based records. 

 

Working Hours:

You will be rostered to work 5 days a week (Monday to Friday), working the afternoon shift commencing at 4:30pm and finishing at 9:30pm (5 hours per evening).

At times, you will be required to work a shift starting and finishing earlier (3:30pm to 8:30pm)

Please note: You are required to be on-site for this role at all times, there is no capability to work from home.

Responsibilities include:

  • Answering phone based and email based enquires from internal and external stakeholders.
  • Responding to information requests in accordance with the department’s release of information guidelines to ensure continuing care for patients.
  • Collecting, scanning and re-directing mail.
  • Performing general department duties as required.
  • Scanning paper-based patient medical records using the BOSSnet Digital Medical Record system.

  • Excellent customer service skills with a focus on meeting the needs of internal and external stakeholders
  • Flexible in a changing work environment with an openness to changing processes and procedures
  • Ability to work autonomously and make independent decisions whilst also able to work effectively and supportively in a team environment
  • Proven attention to detail and high care taken with tasks
  • Can effectively communicate using verbal, written and non-verbal communication to clearly convey information to other staff, patients, clinicians and additional stakeholders
  • Excellent organisational skills with a proven ability to prioritise workload effectively and meet deadlines
  • Collaborative working style willing to work closely with various stakeholders to find solutions to workplace challenge
  • Knowledge of the Privacy Act / Health Records Act 2001 (Vic)
